Invite athletes and guardians
Give athletes and parents their own logins to see schedules, entries, and results
Inviting athletes and guardians gives them their own logins to follow schedules, entries, and results — and, on club teams, to declare events. Invitations are tied to a contact on an athlete's profile, so the flow is: add the contact, then send the invitation.
Portal access depends on your subscription. Some subscription levels include the athlete and guardian portals and some don't, and it can vary by team type. If someone you invited can't log in, check your plan under Settings > Billing.
Add a contact, then invite
On an athlete's profile, open Contacts > Add Contact. Mark whether the contact is the athlete or a guardian, and give them an email — that's the one field invitations require. Check Send platform invitation to email them as soon as you save, or leave it unchecked and send later with Send Invitation from the contact.
The contact's status tells you where each person stands: Not invited, Invitation pending (sent, waiting on them), or Has access (accepted).
Manage access
- Resend a pending invitation if it expired or got lost.
- Cancel a pending invitation to pull it back before it's accepted — useful when you sent it to the wrong address.
- Remove access for someone who has accepted; there's a brief undo if you change your mind.

Troubleshooting
Can't send an invitation — the contact has no email; add one first.
Invitation expired — resend it for a fresh link.
Sent to the wrong email — cancel the invitation, fix the contact's email, and resend.
