Add and edit athletes

Create athlete profiles correctly so seeding and age groups work

Add swimmers one at a time from your team's Athletes page with Add Athlete. The form is short and mostly obvious — this guide covers the few fields that have consequences later, and what trips people up.

The fields that matter

  • Grade is required for high school teams; date of birth is required for club teams. These aren't interchangeable — grade drives high school divisions, and date of birth drives club age groups. Enter the one your team type asks for.
  • Preferred first name is what shows around the app when a swimmer goes by a nickname; their legal name still flows into entry files and official records.
  • Division assigns the athlete to a competition group for seeding and records. You can set it now or later.

Everything else (middle name, notes) is optional and self-explanatory. Use Save and Add Another to add a roster quickly without leaving the form.

USS numbers

A swimmer's USS number is their USA Swimming membership ID — it's issued and assigned by USA Swimming, not created in CoachBrighter. If an athlete doesn't have one yet and needs it, they (or their family) register for one on the USA Swimming website.

Inactive vs. deleted

Mark a swimmer Inactive to drop them from meet and roster selections while keeping their full history — the right choice for graduates and swimmers taking a season off. Deleting removes their record entirely.

Editing and divisions

Open any athlete from the Athletes list to edit their details. To create the divisions you assign athletes to, go to Settings > Divisions — see Set up team identity and divisions.
