Set up team identity and divisions

Get the team details that flow into seeding, records, and exported entry files right

Most of your team's profile is self-explanatory — name, address, contact email. This guide covers only the settings that do something elsewhere in the app, so you know which ones are worth getting right.

Settings that affect other features

  • Team type (High School or Club) decides whether you seed athletes yourself or open meets for declarations. It's set when you create the team and shapes how meet entry works everywhere — see How meets work.
  • Abbreviation and LSC / registration code are written into the entry files you export for meet software. If they're wrong or missing, championship and HyTek systems can reject your entries — see Export entries for meet software. Club teams must set a registration code.
  • Conversion factors control how times move between courses for seeding — see Edit conversion factors.

Everything else (address, phone, contact email) is plain contact information — fill it in and move on.

Divisions

Divisions group athletes for seeding and records — varsity vs JV, or whatever splits your program uses. Create them under Settings > Divisions. Each division can carry a short HY3 code (2 characters) and EV3 code (3 characters); set these only if you exchange files with meet software that expects them, since they're matched on export and import. Once a division exists, you can assign athletes to it from their profile.

Deleting a team

⚠️ Deleting a team is permanent — every athlete, meet, and result goes with it, and there's no undo.

Only delete teams that are test data, duplicates, or permanently shut down. To remove a single swimmer instead, mark them Inactive on their profile, which hides them from selections while keeping their history.
