Build relay teams from declarations

Families mark their swimmers available for relays; you build the teams. Learn how to use the relay builder, candidate pool, and auto-fill to set starters and alternates.

Relays work a little differently from individual events. Families don't pick a relay for their swimmer — they just mark them Available for relays on the declaration form. You take it from there, building each team in the relay builder from the swimmers who said yes.

How families opt in

On the declaration form, a session with relay events shows an Available for relay toggle. If the meet has sessions, swimmers set it per session. You'll see who's available in the relay builder's candidate pool.

Open the relay builder

From the declarations matrix, use either route:

  • Click View Relays at the top of the matrix.
  • Click a relay event's column header. It shows how many legs are filled and how many teams are declared.

The builder opens on a relay event. A strip along the top lets you jump between the meet's relay events.

Add a team and fill its lineup

  1. Click Add Relay Team. The first team is A, the next B, and so on. Each team has tabs.
  2. Select a team. Its lineup has a Main lineup with four starter slots and Alternates with up to four more.
  3. Click an empty slot to focus it, then pick a swimmer from the Candidate pool on the right.
  4. Repeat until the team is full. To take someone out, use the remove button on their slot.

Each swimmer's slot can also carry a manual seed time (MM

.HH) and, if the meet uses heats and lanes, a heat and lane. Use Clear heat and lane to reset them.

Use the candidate pool

The Candidate pool lists the athletes you can pick. Use Search athletes or the filter menu to narrow it:

  • Gender and Age — keep the list to swimmers eligible for this relay. Loosen them to swim someone up.
  • Relay availability — the default is Marked available for relays. Switch it to Any (include unavailable) to see everyone, including swimmers whose families haven't opted them in.

Each candidate shows how many entries they already have against the meet's limits: individual events, relays, and total. A relay entry only counts when the swimmer is a starter — alternates don't count toward the relay cap. If assigning someone would go past a cap, the pool tells you with a warning such as Relay cap reached — entering will exceed cap.

Fill a team automatically

Auto-fill picks starters for you from recorded times:

  • Medley relays fill by stroke — backstroke, breaststroke, butterfly, then freestyle — using each swimmer's best time in that stroke.
  • Freestyle relays fill with the fastest freestyle times.

Auto-fill only considers swimmers who are eligible and opted in. If it can't fill a slot, it tells you why:

MessageWhat to do
No swimmers have opted in to relays for this meet yet.Ask families to mark their swimmers available, or fill the team by hand.
No swimmers match this event's gender or age range.Use the candidate pool filters to swim athletes up.
No eligible swimmer has a recorded time for the required stroke.Import results, or assign swimmers manually from the candidate pool.
All four starter slots are already filled.Remove a swimmer first to auto-fill again.

Auto-fill is a starting point. Review the team and swap anyone you'd rather change.

Troubleshooting

My swimmer isn't in the pool — the default filter shows only swimmers marked available. Switch Relay availability to Any (include unavailable), or check the gender and age filters.

A time won't save — relay times must be in the form SS.HH, MM

.HH, or HH:MM
.HH.

The heat and lane I picked is taken — each heat and lane combination can only go to one team. Pick another or clear the one that's in use.

Relays are missing from the export — a relay only exports when it has four starters in order. See Export entries for meet software.
